Gentile Venues
An established venues and catering group whose operation had outgrown spreadsheets and email threads — now being rebuilt end to end.
The situation
Events businesses run on coordination. Every booking is a chain of dependencies: the date, the room, the menu, the staffing, the vendors, the deposit schedule, the final headcount that changes three days out. When that chain lives across spreadsheets, inboxes and individual memory, the business does not fail loudly — it just leaks. Double bookings get caught late. Deposits get chased manually. Nobody can answer "what did we actually make on that event" without an afternoon of reconciliation.
What we're building
- Full website redesign. A bilingual, cinematic site built to convert inquiries, with venue pages that sell the spaces properly.
- Custom-tailored CRM. The complete event lifecycle in one system — inquiry, quote, contract, deposit schedule, vendor coordination, day-of details and post-event reporting.
- AI-driven marketing campaigns. Segmentation by event type and season, with content and follow-up sequences wired to pipeline stage.
- A unified brand system. One identity across every touchpoint, from the site to the contracts clients sign.
The approach
We started in discovery rather than design: sitting inside the booking process, mapping every workflow and every exception. Events are an edge-case-heavy business, and the exceptions are where generic software breaks. The architecture was written and agreed before development began.
Status
In active development. Metrics will be published here once the system has run in production long enough to produce real ones.
